1. Log into your BVH account at Hallmaster. From the Dashboard, click “Bookings”. By default, this will show any “Requested” (Provisional) bookings you have made. Alternatively, open the Scheduler and navigate to the booking you want to cancel or amend. Click its Edit (Pencil) icon, and proceed to Step 3.
2. On the next screen, change the “Booking Status” to “Confirmed”. You should see a list of your confirmed bookings. You may need to expand the series, to find the one you want to cancel or amend. Then click on the small Edit (Pencil) icon on the right. If you are doing this on a mobile or iPad, at the bottom of the screen, in the booking listing, click on the < icon, and then the pencil icon and select Cancel Booking.
3. Click the red Cancel Booking button, or make any changes you need. You can’t change the room selection yourself – contact the Booking Clerk to do that for you. It will ask you to confirm the cancellation. Alternatively, save the changes you made.
4. The booking clerk will receive an automated email, to accept or reject the cancellation or amendment. A booking can be Cancelled or Deleted. Normally, we would delete the cancelled booking.
5. A booking that has passed can’t be cancelled. If you missed a booking for good reasons (e.g. bad weather or unexpected illness), contact the booking clerk, and we can consider waiving the late cancellation fee (normally, the cost of the missed booking).
6. You can only make one set of amendments at a time. If you have submitted amendments, you cannot make any further changes until the booking clerk has considered and accepted or rejected your first amendments.
